Executive Associate, NYC, NJ & The Hamptons

Seeking right hand Executive Associate to provide Administrative and Personal Assistance to UHNW individual and Interior Designer currently working on and designing complete build out of 50,000 sq. ft. estate in South Hampton. Must have necessary poise, polish, confidence and outstanding interpersonal and communication skills to be a strong interface.

RESPONSIBILITIES

  • Be exceptionally well organized; create systems in home office for greater efficiency and time well spent
  • Manage calendar and be a thoughtful and insightful scheduler
  • Must be proactive and responsive; able to interact with all levels from household staff to dignitaries and other UHNW individuals and clients
  • Handle incoming emails and respond professionally
  • Help facilitate travel; both international and domestic working with the office of the Chief of Staff
  • Manage supplies and inventory and create list of items to be purchased through operations office
  • Assist with any follow up needed
  • Ensure Principal’s day-to-day life runs smoothly
  • Assist with special event planning and coordinate through COS and Operations office

QUALIFICATIONS

  • Must be strong with logistics and general coordination; manage time and multiple priorities efficiently
  • Must possess unique and creative problem-solving skills and be able to plan for contingencies
  • Must be exceptionally well organized, pay impeccable attention to detail and possess strong interpersonal and written communication skills
  • Be polished, confident and enthusiastic with high level of client servicing
  • A “can do” attitude, understanding of ever-changing needs and be able to prioritize and manage multiple priorities; a “master juggler” with a “roll up the sleeves” attitude
  • An enthusiastic spirit and must love what they do and take pride in a job well done
  • MAC or PC proficient

IMPORTANT NOTES

  • Must be child friendly; able to interact effectively with Nanny team
  • Comfortable in both structured and agile working environments
  • Positive disposition, great sense of humor and creative mindset
  • Must be available via text or phone before or after business hours
  • Must be an excellent list maker and note taker with strong follow through
  • Strong listening skills

COMPENSATION

  • $135K – $150K+ DOE
  • 100% fully medical, dental and vision- PPO Insurance and 401K, discretionary year-end bonus
  • Regular Hours 9 – 6, but available by phone or text before or after hours
  • Transportation will be provided daily to and from various residences
